Fairview Pricing Requests for Grant Proposal Budgeting

Fairview Research Administration along with members of the Medical School Research Office and department research management have collaborated to streamline the process for submitting a Fairview Pricing Request as part of the grant proposal process. This process is intended for faculty members who are submitting grant proposals that incorporate Fairview Services for clinical research participant visits, tests, and procedures conducted as part of research studies.

After submitting your request, you will gain access to a dashboard to check on the status of your request. Details about the dashboard will come directly from Fairview Research Administration.

To assist with the process, a new Grant Guidance for Fairview Pricing Requests (& Developing Study Budgets) is available to learn more about how to submit a request and what you can expect after submitting a request.

Flow chart of when to use the Fairview Pricing Request Form. When you aren't prepared to submit a grant, it is best to use the RPBE tool. When you are gathering critical pricing information for submitting a grant, you should submit a Fairview Pricing Request. If you have a funded study and have already submitted a Fairview Pricing Request, submit an OnCore Calendar Build Request.

RPBEv2.0 is a tool that allows faculty and research staff to estimate procedure-based budgets for business & industry proposals as well as event-based clinical trials. For example, if you plan a study for 100 subjects that require 2 MRIs with contrast, you can input the total number of subjects and events per procedure while pulling cost estimates for common clinical procedure bundles. This additional functionality rolls up with the other expense categories (e.g. staff salaries and other indirect and direct costs) associated with the study for a total preliminary budget estimate.

Why?

We received feedback from both faculty and Fairview Administration that providing an updated pricing request system for grant proposal budgeting would be valuable.

When?

Starting on August 1, 2023, please use the new form to submit a Fairview Pricing Request.

To ensure sufficient time to finalize the grant budget, it is recommended to follow your department’s timeline requirements for budget development. If your department does not have timeline requirements, it is recommended that the pricing request be done at least 4 weeks before the grant deadline to give the applicant sufficient time to finalize the budget prior to proposal submission.    

Fairview will provide an approved and accurate budget to researchers within 1-2 business days of submitting the request in most situations. More complex requests or requests missing critical details may take up to 5 business days to process.
